Hold your Private Event at il Bistro

At the Bistro, we have a smaller dining room that we refer to as “East Room” that is perfect for private events up to 26-28 people. For a business presentation that requires a screen, we recommend to keep the number of guests to a maximum of 15-17.

Our larger dining room (the West Room) seats up to 55-60 depending on table configuration. For business presentations that require a screen, we recommend keeping the number of guests to a maximum of 40. This room provides access to the restrooms and, unless you reserve the whole restaurant, access to the restrooms must be granted to guests seated in other parts of the restaurant. Usually, we leave a small corridor along one of the walls available for restroom access. This does not disrupt private events in this room.

In order for your party to have exclusive use of one our dining rooms, we need to have a minimum amount of sales guaranteed for your event that equals about what the room generates on average for the same night of the week and time of the year. This is NOT a room charge, simply the minimum amount you have to spend in food and drinks to have exclusive use of the room. The following tables should help you determine this amount (please note that we require a 20% gratuity added to the food and drink bill and that the local sales tax is 7.65%).

Unless otherwise agreed upon, to hold a reservation we need credit card information that would be charged only if the reservation is cancelled less than 7 days prior to the date of the event for a non refundable amount equal to 25% of the applicable minimum amount of sales guaranteed for the room. For December reservations only, the credit card will be charged the above amount if the reservation is cancelled less than 14 days prior to the date of the event.

How do you calculate your Budget for Food and Beverages?

This is not exact science and it can be a bit confusing, so hopefully the following example may help you.

Let’s say that you would like to have an event in the smaller dining room on a Saturday night in May and you think you will have 25 guests and you would like to spend no more than the minimum amount required for the room which is $1200 before tax and gratuity.

$1200 divided by 25 people equals $48 per person. You can decide to spend it all in food and have a cash bar for beverages (each guest pays for his/her own); alternatively, you may decide that you want to take care of the drinks as well. As you know your guests, you need to guess how much they are likely to drink on average and you also need to decide if you want to have an open bar or if you want to limit the drinks to wine and beer perhaps. For this example, let’s say that you want to have wine and beer available to your guests and decide that every guest, on average, is going to have 2 glasses of wine or a couple of beers (remember this is an average: you may have someone drinking a whole bottle of wine and someone else just drinking ice tea, the average would still be about two glasses per person).

You decide on 2-3 types of moderately priced bottles of wine that will be served (you are only charged if the guests request a bottle and we open it - you are not charged for unopened bottles) and decide to set aside $10 per person in drinks. Then, we would discuss a family style menu in the $38 per person price range, which affords you a very nice, multiple-course, family style dinner especially designed for you.

During your event, we will keep an eye on the beverage expenditures and inform you, if you so request, if the budgeted amount has been reached to allow you to make an appropriate decision in terms of allowing additional drinks or not.
